The following details the general conditions and limits the liabilities under which our tours will operate. Signature of the reservation form represents an acceptance by the customer and/or his/her agent of IN-SPIRIT General Terms and Conditions.


Tours will only operate if there are a sufficient number of passengers. In-Spirit Journeys reserves the right to alter, cancel or postpone any tour in which the minimum occupancy is not reached or for any other reason. In the event of an unlikely cancellation of the tour by In-Spirit Journeys you will be refunded for all monies paid to us.

In-Spirit Journeys reserves the right to alter any tour itinerary or retreat, the route, the transportation or accommodation, with or without prior notice, should it be deemed necessary.


Prices include transportation and details as per stipulated itinerary of Tourplan / Itinerary, e.g. entrance fees, meals, etc. All other expenses are for the private account of the tour participant.

In-Spirit Journeys reserves the right to adjust prices without notice, to reflect any fluctuations in foreign exchange rates, tariff rates or fuel costs prior to receipt of payment in full.


A deposit of a minimum of one third (331/3%) of the total tour price per person is payable on confirmation of booking.


At least 45 days prior to departure or within 24 hours of confirmation should time not allow for 45 days.

Less than 45 days to departure: immediate payment is required. We reserve the right to cancel any reservation for which the total amount owed to us has not been paid by due date. Under such circumstances any deposits paid will be forfeited.


We reserve the right to charge a late booking fee of min. R250 per booking in respect of all reservations received less than 10 days prior to commencement of the tour in order to cover urgent communication expenses. This applies for bookings received from outside the R.S.A. only.


We reserve the right to charge an amendment fee of min. R250 per booking for any changes to confirmed services. All costs in connection with amendments have to be fully charged.


More than 60 days prior to departure: Full refund (less administration charges)

60 – 45 days prior to departure: 75% cancellation fee

Less than 45 days prior to departure: 100% cancellation fee

Where IN-SPIRIT is acting as an agent – other cancellation charges may apply. These charges are subject to confirmation with us when making a booking.

Cancellations must be received in writing


No refund will be given for any partly or unused services/vouchers irrespective of whether they form part of an IN-SPIRIT product or a product where IN-SPIRIT is acting as an agent only.


Luggage is limited to two items of luggage and with a total weight of not more than 20 kg per person (economy) and 30 kg p.p. (bus. class travelers) – hand luggage included unless prior arrangements have been made with us. IN-SPIRIT will not accept any responsibility in respect of loss or damage to luggage. Please ensure that you have sufficient baggage insurance cover.


The responsibility for the prevention of current and valid passports, visas, vaccinations and inoculations and the like, where required, is that of the customer alone and IN-SPIRIT shall not be responsible or liable for any consequence of any nature arising from the customer failing to ensure that he/she has complied with all such requirements.


Travel insurance is the sole responsibility of the client and should include medical expenses, evacuation and repatriation in an emergency.

It is strongly recommended that you insure against possible cancellation, medical costs, loss of money and baggage, as IN-SPIRIT cannot be held liable for these possible eventualities occurring.

We reserve the right to make schedule changes with or without prior notice and/or variations in vehicles used for transportation as well as hotel accommodation and tour items without liability to IN-SPIRIT and their servants and agents.

In-Spirit Journeys will not be liable for any loss that may be incurred as a result of schedule changes or curtailment and suspension of services.

Participants on In-Spirit Journeys will be required to sign a Release of Liability Form upon registration for a Tour or Retreat.


All arrangements for transportation and conveyance as well as accommodation and tour packages made by IN-SPIRIT as agents under the express condition that IN-SPIRIT accepts no responsibility or liability in respect of force majeure, either personal or property damage, accident, injury, death, illness, theft, loss of or damage to property, delays or irregularity from any cause whatsoever sustained or suffered by a client, occurring any time during the Tour or Retreat which may be the result of defects in any vehicle or through the acts and/or omissions of any company or person engaged in conveying the tour participants or carrying out arrangements on the tour or retreat.

Each participant or group is responsible for all medical and other insurances as well as their own international travel arrangements.


All prices are subject to change without prior notice.

Full refunds will only be effected in extreme cases where medical reasons or extenuating circumstances occur. This after deduction of our expenses.
